Impact Ignite Conference – Terms and Conditions

1.                General

  1.1.                These Terms and Conditions (“Terms”) govern the registration and attendance for the Impact Ignite Conference (“Conference”), organised by the Research Impact Academy (“Organiser”). By registering for the Conference, you (“Participant”) agree to be bound by these Terms.

  1.2.                The Organiser reserves the right to update, modify, or replace any part of these Terms at its sole discretion. Updated Terms will be posted on the Conference website, and continued registration or participation constitutes acceptance of these changes.

 

2.                Registration and Payment

  2.1.                All registrations must be completed online through the official Conference registration portal or by an approved alternative method.

  2.2.                The Participant is responsible for providing complete and accurate information during registration.

  2.3.                Payment of the registration fee must be made in full at the time of registration (unless otherwise stated). Failure to do so may result in a denial of access to the Conference.

  2.4.                The Conference fee includes admission to scheduled sessions, conference materials, and any refreshments or meals specified by the Organiser. Travel, accommodation, and other incidental expenses are the responsibility of the Participant unless otherwise stated by the Organiser.

 

3.                Cancellation and Refund Policy

  3.1.                If the Participant needs to cancel their registration, they must notify the Organiser in writing (via email to info@impactignite2025.com).

  3.2.                Refunds will be processed in accordance with the following schedule (unless otherwise stated by the Organiser):

  • Up to (and including) 120 days before the start date: 100% refund less a £20 processing fee per registration

  • 119 to 45 days before the start date: 50% refund.

  • Fewer than 45 days: no refund.

  3.3.                The Organiser reserves the right to modify the Conference program or to cancel the event in its entirety if unforeseen circumstances arise. In the unlikely event of cancellation by the Organiser, registration fees will be refunded in full. The Organiser shall have no further liability to the Participant for any costs incurred, including travel or accommodation expenses.

4.                Substitution Policy

  4.1.                If a registered Participant is unable to attend the Conference, a substitute delegate may be nominated at no additional cost, provided the Organiser is informed in writing at least 15 days prior to the Conference.

  4.2.                 The substitute delegate agrees to comply with these Terms.

5.                Conference Programme and Changes

  5.1.                The Organiser will make all reasonable efforts to present the Conference as advertised. However, the Organiser reserves the right to make changes to the Conference programme, including speakers, schedule, or venue, without prior notice.

  5.2.                 The Organiser shall not be held liable for any loss, damages, or inconvenience caused as a result of such changes.

6.                Code of Conduct

  6.1.                The Participant agrees to behave in a professional and respectful manner at all times during the Conference and related activities. Harassment, discrimination, or any form of inappropriate conduct (whether verbal, physical, or otherwise) is not acceptable.

  6.2.                The Organiser reserves the right, without refund, to prohibit entry or remove any Participant whose conduct breaches the Code of Conduct or otherwise interferes with the safe and respectful environment of the Conference.

7.                Photography, Recording, and Use of Likeness

  7.1.                By attending the Conference, the Participant consents to being photographed, filmed, or otherwise recorded. The Participant grants the Organiser the right to use any such footage or images, in whole or in part, for promotional or marketing purposes.

  7.2.                If the Participant wishes to avoid being recorded or photographed, they must inform the Organiser in writing in advance, and the Organiser will make reasonable efforts to respect such requests.

8.                Intellectual Property

  8.1.                All materials (presentations, documents, videos, and other content) made available by the Organiser or speakers during the Conference are protected by intellectual property rights. The Participant agrees not to reproduce, distribute, or disclose any such materials without the prior written consent of the Organiser or the rightful owner of the materials.

  8.2.                Any sharing or posting of these materials on external platforms without authorisation is strictly prohibited.

  8.3.                Ownership of submitted presentation materials remains with the presenter.

9.                Liability and Indemnification

  9.1.                The Organiser shall not be liable for any loss, injury, or damage (including direct, indirect, consequential, or incidental damages) to the Participant, or their property, arising out of or in connection with the Conference, unless such loss or damage is the result of the Organiser’s wilful misconduct or gross negligence.

  9.2.                The Participant indemnifies and holds harmless the Organiser against any loss, liability, claim, or damage arising out of any act or omission of the Participant during or in connection with the Conference.

10.                Data Protection and Privacy

10.1.                The Organiser will handle the Participant’s personal data in accordance with relevant data protection laws and regulations. .

10.2.                By registering for the Conference, the Participant consents to the collection, use, and storage of their personal information for the purpose of administering the Conference and future communications (as permitted by law).

11.                Governing Law and Jurisdiction

11.1.                These Terms and any disputes relating to them shall be governed by and construed in accordance with the laws of [England and Wales / your relevant jurisdiction].

11.2.                Any dispute arising out of or in connection with these Terms shall be submitted to the exclusive jurisdiction of the courts of [England and Wales].

12.                Severability

12.1.                If any provision of these Terms is held by a court of competent jurisdiction to be invalid or unenforceable, that provision shall be severed from these Terms and the remaining provisions shall remain valid and enforceable.

13.                Entire Agreement

13.1.                These Terms constitute the entire agreement between the Organiser and the Participant with respect to the Conference and supersede all prior agreements, arrangements, and understandings relating to the subject matter.
